Challenge faced

The challenge for the healthcare industry is to integrate, in these types of solutions, heterogeneous clients and suppliers that have different characteristics and sizes. Adding to the complexity of this issue is the fact that not all partners have or are able to obtain an electronic solution, which is a requirement of multinational companies. Another difficulty comes from the fact that the healthcare industry is present in both the public and private sectors and this means having different workflows and management processes. This may involve handling large amounts of documents, manual processing, or expensive paper storage.

The GE Healthcare Project has two types of interlocutors with different needs: private clients and the public sector. This differentiation already involves managing EDI projects differently. In the first place, it arises from the need to have an EDI logistics platform with its customers for the exchange of messages such as orders, dispatch notices, notices for the receipt of merchandise, confirmation of orders, etc. Due to the obligatory nature of electronic invoicing, public administrations are being affected by the implementation of the Facturae Project in Spain and subsequently in other countries of the European Union such as France and Italy. On the other hand, the company is also affected by the new electronic VAT regulation in Spain called SII that emerged in 2017 and requires real-time electronic communication with the AEAT and new internal management processes.

Solution implemented

Strategy: To automate the exchange of invoices and other documents to increase efficiency in managing the supply chain.

In order to overcome the challenges posed by the sector and the market, GE Healthcare entrusted EDICOM with the implementation of a 360° platform that includes the integral management of all EDI needs and is integrated into its SAP internal management system.

Logistics EDI - Manual or integrated EDI

Exchange of purchase orders, shipping notices, invoices, confirmation of orders, and notices of receipt of goods.

Electronic invoicing with Public Administrations in Spain - Facturae Platform

Issuance of electronic invoices in accordance with the Spanish Facturae requirements, including electronic signature.

Electronic VAT declaration in Spain - SII Project

Automation of the complete VAT declaration process to the AEAT: issuance, connectivity with electronic headquarters, and receipt of VAT books.

e-Invoicing in the EU - Public Administrations HUB

ERP Integration of the electronic invoicing system in several countries of the European Union while complying with their requirements.

Solution performance

As a global EDI and e-Invoicing provider, EDICOM offers its services internationally and offers different solutions to connect with any type of commercial partner. In addition, the client can integrate and automate any of the implemented cloud solutions with its internal management system.

1

The EDICOM platform integrates with the ERP to capture the necessary ERP data for sending each document.

2

It converts the data into a structured format for secure and reliable transmission. It also applies digital signatures to documents that require them.

3

The integrated EDI platform identifies the recipient: If the destination is a Public Administration, the document is sent through the EDICOM Public Administration HUB. In this case, it applies to electronic invoices and VAT books. If the destination is a private supplier, the document is sent through the established protocol between the parties.

4

The sender will automatically receive acknowledgment notices from Public Administrations or Tax Authorities and can integrate them into their ERP.
